Clear Hearing Solutions is an independent, Queensland-based audiology clinic providing advanced hearing care across two locations — Hamilton Health Hub in Brisbane and Thornlands on the Redlands Coast. As a growing practice affiliated with the Australian Hearing Services Program and Audiology Australia, Clear Hearing Solutions holds itself to high clinical and compliance standards. By late 2025, however, a persistent operational friction point had become impossible to ignore: the clinic's paper-based patient consent and record workflow was costing real money, real time, and creating real compliance risk.
Drowning in paper — a problem hiding in plain sight
When Clear Hearing Solutions approached DataScan in October 2025, their reception team was managing an entirely paper-based patient signature process. Every new patient appointment generated at least two to three printed forms: initial consent, privacy acknowledgement, and hearing assessment authorisation. Follow-up and repeat patients added further paperwork for hearing aid fitting agreements and device loan forms.

Patients now sign digitally at the point of consultation — their signature is captured in real time, embedded into the relevant patient record, and stored instantly with a secure audit trail.

From a compliance and record-keeping perspective, the clinic now has a fully searchable, timestamped digital archive of all patient consent records — accessible instantly and backed up securely. This is a significant improvement over the previous system, where locating a specific signed document required searching physical files.
